Business Phone SYSTEMS - UPGRADE OR BUY NEW ?

It is said that employees are an organisation's best asset, but to get the most out of that asset, it's vital that there are the right structures and systems in support. On the other hand, employee value is quickly eroded when the structures and systems are ineffecive.

Business communication is absolutely essential in maintaining the value of that prized asset.  These are vital to business efficiency and success, but scant attention is often paid to them. 

It's also true that most organisations will have to evaluate their business Phone System at some stage, and that can be a confusing and challenging decision because of the technologies available and the huge cost variances involved. People don't seem to have a problem keeping abreast of what's happening in the world of computers and mobile telecommunication, but when it comes to Business Phones, we tend to disregard them because they're just a practical necessiity. They're not nearly as interesting or exciting but they're as important.

Another consideration is whether it makes sense to upgrade an existing phone system or invest in a totally new one. Both decisions require considerable research and cost comparisons in order for an informed choice to be made.  Early effort will prevent late mistakes and regrets. 

The best way to start is to talk to a specialist in business phone system solutions. Always make sure of their track record and communicate your needs as thoroughly as possible. Don't be afraid to shop around for the best advice, best deal and most importantly, the best after-sales service and support.   Most importantly, make sure the supplier can answer ALL your questions.

What should you ask?  Perhaps at the outset, you should ask yourself WHY you want or need to change your phone system.  An Office Phone system isn't aren't only about efficiencies and communciation.  They also make a statement about your business – and can influence how your business is perceived.

Ask what your organisational needs are, both currently and in the future? This may well influence your choice of VoIP (Voice over Internet Protocol), analogue or digital.   Because VoIP uses a single integrated network for voice and data, businesses can reap significant cost savings from the convergence, enhanced flexibility and mobility of an ip system.

It is also important to quantify what your existing system costs in order to evaluate it against an upgrade or a new one.   And always ask your employees (your best asset) what they want from their Office Phones – they’re the ones using them!

Here are a few questions to ask :

  • is the system reliable?   And is maintenance becoming costly – and more frequent?
  • Can the system cope with capacity as it is currently - and what are the future expectations?
  • Is there evidence of customer dissatisfaction?
  • Are staff members difficult to locate or contact?   And what are the current messaging systems like – where are the gaps?
  • Is the existing system deficient in terms of features and functionality?
  • Does it make practical and financial sense to upgrade the current system?

Get a handle on what features you want (eg call reporting, enhanced Voice Mail, wi-fi phones, blue tooth headsets, ip phones etc).  Try and link these back to your business needs and evaluate the effect on the bottom-line.  

Ask the professionals to evaluate your existing system and determine whether an upgrade is possible or whether a new system is required. They will be able to tailor-make a Digital Phone system that will meet your current and future needs, and that will meet your budget requirements too.
